Electronic Document & Records Management (EDRM) Within the overall scope of the Enterprise Content Management solutions, the focus has moved from mainly document management to include electronic records management as well. To prevent inherent silos and permit consistent information lifecycle management, it can be argued that an integrated and corporate Electronic Document and Records Management (EDRM) approach is the only sensible option. This will support the organization in business planning and in meeting legal/regulatory obligations, whilst reducing the administrative burden on staff of paperwork. A subset of the documents managed in an EDM system can be "declared" to be records (within an EDRM system or ERM module) and are then managed as records using a more stringent set of business rules, based around a "File Plan". Once a document is "declared" as an evidential record via a manual or automatic procedure, it is "frozen" and cannot be changed or deleted except through an authorised retention appraisal process. The system will ideally need to be fully integrated with the document management and workflow functionality, so that metadata is shared and declaration is seamless. Please see EDRM systems list here. |
